Privacy Policy

This website is operated and managed by KPG Luxury Hotels (hereafter, the “Company”). The Company will not use the personal information of users of this website for purposes other than those for which their information was initially shared. The Company will take appropriate measures to protect such information; however, should guests have any complaints, their information will be promptly removed from the guest/client registry. Further, the Company shall observe all of the terms of this privacy policy and will continue to provide guests/clients with peace of mind as well as useful information from time to time.

The Handling of Personal Information

Regarding the handling of personal information, the Company has established a control system and will handle such information appropriately and prudently in compliance with internal regulations.

(1) Collection of Personal Information

When the Company collects personal information from guests/clients, such information will only be used to provide or introduce goods and services as well as information we deem useful according to the provisions listed below in (2).

The Company mainly obtains the following kinds of information:

- Information provided by guests/clients when registering as members: Name, gender, date of birth, residential address, telephone number, e-mail address, etc.
- Information obtained when guests/clients use goods or services: Reservations as well as results of use of goods or services at lodging facilities, etc.; application for special gift drawings and the results of those drawings; information obtained through survey responses and submission of information on recommended goods and services; information relating to transaction histories, and guest/client contact information.

In the case when personal information is collected from guests/clients for a purpose not included among those stated below, such purpose shall be clarified beforehand and upon receiving permission from the guest/client, and the Company shall use legal and fair means regarding necessary limitations when achieving such purpose.

(2) Use of Personal Information

The Company shall use personal information obtained during the course of business from known guests/clients for the following purposes:

- To contact guests/clients who have requested various goods or services
- To enhance the content of services provided by the Company
- To notify guests/clients of useful information, to contact guests/clients as needed, to conduct studies on circumstances concerning use of goods or services, and to carry out various internal reports (aggregate attribute reports, analyses, etc. limited to a manner which does not identify specific individuals)

(3) Provision of Personal Data to Third Parties

The Company shall only provide personal data obtained from guests/clients to third parties in the following cases:

a) When consent is obtained from the guest/client concerned
b) When a need for such arises to achieve a purpose of use as indicated above in (2)
c) When disclosure of such is requested by police, prosecutors, courts of law, bar associations, or organizations which hold authority through those parties, to investigate a crime, etc.
d) When the concerned third party determines the urgent necessity of such to protect an individual’s life, health or assets

- The Company shall capably provide items of personal data for uses indicated above in (1) to third parties through the control systems of the concerned third parties via electronic as well as paper media.
- The Company shall provide personal data to third parties only in accordance with established procedures. The Company will, at the request of guests/clients, suspend provision to third parties of personal data that identifies the individual concerned. (However, cases may arise where the individual concerned will become unable to use the Company’s services.)

(4) Disclosure, etc. of Personal Data

Guests/clients may request the Company to confirm or amend personal data held by the Company. Regarding personal data that identifies the individual concerned, guests/clients are asked to direct requests for disclosure, amendment, suspension of use, or notification of the purpose of use of personal data held by the Company to the e-mail address listed below in (5) Contact Information concerning the Handling of Personal Information.
